2. Phone Number & Registration Data
During sign-up, Ademina Academy asks for a phone number in addition to standard account details. We use this to:
- Verify your identity and prevent duplicate or fraudulent accounts
- Send course reminders, schedule changes, or urgent support messages (including via WhatsApp where you've indicated a preference for that channel)
- Provide an alternate contact method if your email is unreachable
Your phone number is never sold, and is only shared with third parties where necessary to deliver messages (e.g., an SMS or WhatsApp gateway provider) or where required by law.

4. Payment Information
Ademina Academy processes course payments through one or more of the following methods depending on your location: Chapa (for payments originating in Ethiopia), direct bank transfer, and Stripe (processed via a UK-registered entity for international cards).
- We do not store full card numbers, bank account credentials, or CVV codes on our own servers — these are handled directly by Chapa and Stripe under their respective security standards (both are PCI-DSS compliant payment processors).
- We retain only the transaction reference, amount, date, course purchased, and payment status needed for your enrollment records and receipts.
- Bank transfer payments are verified manually by our administration team using the reference number you provide; we retain the transfer confirmation for accounting purposes.
5. Mobile App & Device Data
Our mobile app (Ademina Academy for Android) may request the following device permissions:
- Alarms & reminders — used only to schedule local notifications for course deadlines and reminders you set. This permission does not give us access to your calendar or other alarms, and is optional; the app will still function without it, though reminders may be less precisely timed.
- Notifications — used to alert you to new course content, messages, and deadlines.
- Storage (if applicable) — used only to cache course materials for offline access.
The app does not access your contacts, camera, or location unless a specific feature (such as submitting a photo assignment) explicitly requires it, and you will always be asked to approve that permission at the time it's needed.
6. Sharing & Disclosure
We do not sell your personal information. We may share limited data with:
- Payment processors (Chapa, Stripe) strictly to complete transactions
- SMS/WhatsApp messaging providers, to deliver reminders you've opted into
- Instructors and academy staff, limited to what's needed to support your learning (e.g., an instructor sees your submissions, not your payment history)
- Legal authorities, where required by applicable law or to protect the rights and safety of our users and organization
7. Data Storage & Security
Your data is stored on servers used to host our Moodle-based learning platform, protected with encrypted passwords, access controls, and routine security review. While no system can guarantee absolute security, we take reasonable technical and organizational measures to protect your information from unauthorized access, loss, or misuse.
8. Your Rights & Choices
- You may access, update, or correct your profile information at any time through your account settings.
- You may request a copy of the personal data we hold about you, or request that we delete your account and associated data, by contacting us (Section 11).
- You may opt out of non-essential communications (e.g., promotional messages) while still receiving essential service notices (e.g., payment confirmations).
9. Children's Privacy
Some Ademina Academy courses are designed for younger learners (e.g., Qur'anic studies for children) under the guidance of a parent or guardian. Where a learner is a minor, we require that a parent or guardian create or approve the account, and we limit data collection for minors to what is strictly necessary for course participation.
